Tools that don't talk, overlap, or go unused work against you. Five signs to look for, and what to do before you buy anything new.

Every tool in your stack was bought to solve a real problem. Put together, they can create a new one: more tools, less clarity. 68% of organisations cite data silos as their top concern [1].

Here are five signs your stack is working against you, and a better first move than buying another tool.

1. Your tools don't talk to each other

The same customer looks different in your CRM, your analytics, and your ad accounts. Every report starts with an export and a spreadsheet. Ask: how many manual steps sit between your data and this week's decision?

2. Two tools do the same job

Two email tools, two social schedulers, three places to see campaign results. Overlap costs licences and, worse, it splits the truth. Ask: for each job, which tool is the one you trust?

3. Nobody uses half the features

The platform was sold on what it could do. The team uses what it had time to learn. Ask: which features are you paying for that nobody uses?

4. The figures don't agree

Each tool reports its own version of what worked, and the totals don't add up. Meetings turn into debates about whose figure is right. Ask: when two reports disagree, who decides, and how long does it take?

5. The stack costs more than it returns

Licences, integrations, agency hours, and the time your team spends keeping it all running. Ask: could you say what each tool contributed to the target last quarter?

What to do before buying anything new

  • Audit by job, not by tool. List the jobs your marketing runs every week, then map the tools each one touches.
  • Pick one workflow to fix — the one closest to your target. Connect only what it needs.
  • Work across the stack, not instead of it. Most fixes are in how the tools work together, not in which tools you own. Replacing your CRM or analytics platform is rarely the first answer.
